Privacy Policy

Last updated: 06/08/2026

Iced Automations LLC ("Iced Automations," "we," "us" or "our") is a Wyoming limited liability company. We build business automations and provide managed email infrastructure for businesses. This Privacy Policy explains how we collect, use, share and protect personal information when you visit icedautomations.com (the "Site"), contact us, book a call with us or do business with us.

This policy does not govern personal information that we process on behalf of our clients as part of our services, such as data in a client's systems or in mailboxes we manage for a client. That information is handled under our agreement with the client and the client's instructions, as described in Section 7.

1. Information We Collect

Information you give us. When you contact us, book a call, request a proposal or buy our services, you may give us your name, business email address, phone number, company name, job title, the content of your messages, and billing details.

Information collected automatically. When you visit the Site, our website platform, Framer, collects standard usage information. This includes the pages you view, the site that referred you, your browser and device type, and an approximate location derived from your IP address.

Information from third parties. When you book a call through Calendly, we receive the details you enter in the booking form. We may also receive business contact information from people who refer you to us, and from public sources and business data providers that we use to identify businesses that may be interested in our services.

We do not ask for, and do not want to receive, sensitive personal information such as Social Security numbers, health information or financial account numbers. Payment card details are collected and held by our payment processor, Stripe, not by us.

2. How We Use Information

We use personal information to:

  • respond to your inquiries, schedule calls and prepare proposals;

  • provide, support and bill for our services;

  • operate, secure and improve the Site and our services;

  • send you business communications about our services, which you can opt out of at any time; and

  • comply with the law, enforce our agreements and protect our rights and the rights of others.

3. How We Share Information

We do not sell personal information, and we do not share it for targeted advertising.

We share personal information only as follows:

  • Service providers that act on our behalf. These include website hosting and analytics (Framer), scheduling (Calendly), email and productivity tools (Google Workspace), payment processing (Stripe), and the infrastructure and software providers we use to deliver our services. Examples of the last group are Microsoft, Google, OVHcloud US, Supabase and Instantly. Each provider receives only the information it needs to perform its function.

  • Professional advisers, such as lawyers and accountants, under a duty of confidentiality.

  • Legal and safety reasons, where we believe disclosure is required by law, legal process or a government request, or is necessary to protect the rights, property or safety of Iced Automations, our clients or others.

  • Business transfers, if we are involved in a merger, acquisition or sale of assets. In that case, the acquiring party will be bound by this policy for the information it receives.

  • With your consent, or at your direction.

4. Where Information Is Stored and Accessed

Information in systems that we control is stored in the United States. Our team includes personnel outside the United States, including in India, who may access information remotely to provide our services. All of our personnel are bound by confidentiality obligations and are subject to access controls. Some of our service providers may process information in other countries under their own terms and safeguards.

5. How Long We Keep Information

We keep personal information only for as long as we need it for the purposes described in this policy:

  • Inquiries and prospective clients: up to two years after our last contact, unless you become a client.

  • Client account and billing records: for the length of the relationship and up to seven years afterward, for legal, tax and accounting purposes.

  • Site usage information: according to our website platform's retention settings.

  • Data we process for clients: as described in Section 7.

We may keep information for longer where the law requires it or where it is needed to resolve a dispute or a security investigation.

6. How We Protect Information

We use administrative, technical and organizational safeguards appropriate to the information we handle. These include multi-factor authentication on administrative accounts, access limited to personnel who need it, encryption in transit, encryption at rest for our databases, and written confidentiality obligations for our personnel. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

7. Data We Process for Our Clients

When we build automations or manage email infrastructure for a client, we may process personal information on that client's behalf. Examples include contact records in a client's CRM, mailbox addresses, and messages held in mailboxes that we administer. For this information we act as a service provider to our client. This means we:

  • process it only to provide the services, and in line with our agreement with the client and the client's instructions;

  • do not sell it or use it for our own purposes;

  • protect it with the safeguards described in Section 6; and

  • delete it at the end of the engagement as our client agreement requires. Unless that agreement provides otherwise, we delete data from our active systems within 30 days after the handover is complete, and backup copies expire within 90 days.

If you received an email from one of our clients. Our clients decide who they email and what they send. If you received an email sent through infrastructure we manage and do not want to receive further emails, use the unsubscribe option in the email or reply to the sender. You can also contact us at the address below, and we will pass your request to the client.

8. Your Choices and Rights

  • Marketing emails. You can opt out at any time by using the unsubscribe link or by emailing us.

  • Access, correction and deletion. You can ask us for a copy of the personal information we hold about you, or ask us to correct or delete it. We will verify your identity before acting on a request and will respond within 45 days. Depending on where you live, you may have additional rights under applicable law, and we will honor those rights as required. If your request concerns data we process for one of our clients, we will forward it to that client.

  • No discrimination. We will not treat you differently for exercising your privacy rights.

  • Cookies. The Site uses only the technologies needed for it to work and to measure basic usage. We do not use advertising cookies. If you book a call, Calendly may set its own cookies. You can control cookies through your browser settings.

9. Children

The Site and our services are intended for businesses. They are not directed to children under 16, and we do not knowingly collect personal information from children. If you believe a child has given us personal information, please contact us and we will delete it.

10. Changes to This Policy

We may update this policy from time to time. We will post the updated version on this page and change the "Last updated" date. If we make a material change, we will also notify our current clients by email.
